Jewelry Screen

The Jewelry screen holds all of the information about your finished piece of jewelry.
There are five tabs on the screen:

·                         Jewelry

·                         Parts

·                         Pieces in Set

·                         Classifications

·                         Standard Overhead

·                         Additional Overhead

Jewelry tab

·                         Item Number - a number, or code, associated with this piece.  A default number is assigned when a new piece is entered, however, this default number can be changed.  Each piece must have a different item number.

Note: When upgrading from Jewelry Insight 2.x, jewelry stored before the upgrade will not be automatically assigned an item number.  Item numbers can be added manually.

·                         Name - the name of the piece of jewelry.

·                         Price - the cost of creating this piece of jewelry plus any profit noted in the overhead. This cost may be entered directly into the field or the application can calculate the cost and enter the result. (See ‘Calculate Pricet’ below.)  When the value in Cost does not equal the calculated cost, a colored border surrounds the Cost value.  Click 'Calculate Cost' to update the Cost to equal the calculated cost.

·                         Calculate Price - click this button to allow the application to calculate the cost of creating this piece. Costs are gathered from three sources:

·                                         Parts inventory unit cost

·                                         Standard Overhead associated with this piece

·                                         Additional overhead associated with this piece

For most accurate results, ensure all associated costs have been entered before using Calculate Cost'.  If cost-related items change, use 'Calculate Cost' again to recalculate the cost. 

Note: Percentages are calculated as a percentage of the part costs only, not other overhead costs.  

·                         Status - select the current status of this piece. The default list of statuses to choose from are: In Stock, Reserved, Sold but can be customized on the Jewelry Status Options screen accessible from the Main Jewelry Insight menu on the Options tab.

·                         Quantity on hand - if multiple identical pieces are created and maintained in inventory, use this field to track the quantity of this jewelry piece.  This number is not automatically updated.  In version 3.0, part inventory is updated only for one jewelry piece.  If the quantity on hand is greater than one, part inventory must be updated manually to reflect the decrease in inventory for the additional copies of the jewelry piece.

·                         Part of Set select which set, if any, this piece belongs to. Sets are defined on the Jewelry Sets screen.

·                         Type - select which type of jewelry this piece is. The default list of types is: Necklace, bracelet, earrings, anklet, but can be customized on the Jewelry Type Options screen.

·                         Description - enter any desired descriptive information about this piece.

·                         Picture - if there is a picture of this item, enter the filename of the picture here or use the 'Load Picture' button. The picture will be displayed to the right. The picture file must be stored in the directory designated as the picture file directory.  The picture directory is set on the Attributes screen and must be within the directory where Jewelry Insight is installed. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported.  The optimal size for the jewelry picture is 3"x3".

·                         Load Picture - this button will open a file dialog screen from which you can select a picture file. Picture files stored in the pictures directory. If the selected picture is not already in the pictures directory, use the 'load pictures' button to select the picture from its location. The picture will be copied into the pictures file and displayed on the screen. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported.

·                         Picture display - this is a read-only display of the picture named in the 'Picture' field. The jewelry name is displayed above the picture.

Parts tab

This tab contains information about the individual parts used to create the piece of jewelry.

·                         Update parts inventory - this checkbox is checked by default.

·                                         When this checkbox is checked, the parts inventory is updated when a record is saved on this screen. This means that inventory is reduced by the quantity entered on this screen.
i.e.: If 100 pearls are in stock and this part uses 20 of those pearls, when 20 is entered under 'Number used' on this tab, the inventory of pearls will be reduced to 80.

·                                         When this checkbox is unchecked, the parts inventory does not change, even quantities are entered on this tab.

·                         Part - select the part used to create this piece. The list of parts to choose from are the parts that are currently listed in inventory on the Parts Inventory Screen.

·                         Number Used - the quantity of the currently select part used to make this piece. If a quantity is entered that exceeds the inventory on hand, you will be alerted and asked to confirm that the amount is correct.

Pieces In Set tab

If this piece of jewelry is part of a set, the other pieces in the set are listed here.

·                         No changes are made here.

·                         Go to the Jewelry tab to add or remove this piece of jewelry from a set.

·                         Create a Jewelry Set - Opens the Sets screen so that a new set can be created.  After creating the new set and closing the Sets screen, click Records -> Refresh to see the newly added set as a selection option in the sets dropdown list.

Classifications

Use this tab to select the styles that this jewelry piece depicts.  Examples of classifications may be casual, formal, youth, adult, male, female.  A jewelry piece may have many style classifications (i.e. formal, female).  Options listed on this tab can be updated on the Jewelry Classifications screen accessible from the Main Jewelry Insight screen on the Options tab.

Standard Overhead tab

This screen lists all standard overhead costs. Standard overhead costs are defined on the Additional Cost Options screen accessible from the Main Jewelry Insight menu on the Options tab. If the overhead cost is identified as a standard one, it is automatically added to every piece of jewelry. Standard costs may be deleted after they are added. If you wish to re-add a deleted standard cost, do so on this screen. Items on this screen are used when the ‘Calculate Cost’ button is used on the Jewelry tab.

Items such as costs as well as profit margin may be included here.

·                         Overhead - select the standard overhead. Since this is added automatically, change this information only if the defaults do not apply.

·                         Usage - enter the amount of the overhead item that was used to created this piece. If the specific overhead item is a flat rate amount or a percentage, the usage number is read-only (cannot be changed). If the overhead amount is a variable amount (i.e. dollars per hour), this amount can be changed. An example is: A standard overhead item may be weaving. In the Overhead Costs screen, you have set the weaving rate to $1.50 per hour. You spent 3 hours weaving this piece. Therefore, the Usage amount is 3 you enter here is 3.

·                         Rate - this is the rate for the current overhead. The overhead rates are defined on the Overhead Costs screen. Braiding may be overhead that you charge at $1 per hour. The overhead rates are recorded in dollars or percentages. This is a read only field. The rates are retrieved from the amounts set in the Overhead Costs screen.

·                         Amount - the calculated cost based on the Usage and Rate indicated.  Example 1: If Usage is 2 hours at a Rate of $4 per hour, then cost = $8.  Example 2: If the Rate is 10% and the total cost of the parts = $5, then the cost = 50 cents.

Additional Overhead tab

This screen contains any additional (non-standard) overhead. Add any overhead specific to this piece. Items on this screen are used when the ‘Calculate Cost’ button is hit on the Jewelry tab.

Items such as costs as well as profit margin may be included here.

·                         Overhead - select the overhead item that should be associated with this piece. The rate and the default usage value for the selected overhead added to the item.

·                         Usage - enter the amount of the overhead item that was used to created this piece. If the specific overhead item is a flat rate amount or a percentage, the usage number is read-only (cannot be changed). If the overhead amount is a variable amount (i.e. dollars per hour), this amount can be changed. An example is: A standard overhead item may be weaving. In the Overhead Costs screen, you have set the weaving rate to $1.50 per hour. You spent 3 hours weaving this piece. Therefore, the Usage amount is 3 you enter here is 3.

This screen lists all jewelry.

Jewelry Sets

Create jewelry set here. This screen is used to create sets and to view the list of jewelry added to the sets. Add and remove pieces of jewelry to the sets from the Jewelry screen.

Set Name - enter a name for the jewelry set

Piece - this is the jewelry that belongs to this set. Remove and add jewelry to the set from the Jewelry screen.

Status - indicates the status of this piece. The default list of statuses to choose from are:

·                         In Stock

·                         Reserved

·                         Sold

Statuses can be customized on the Status Options screen.

Type - the type of jewelry this piece is. The default list of types is:

·                         necklace

·                         bracelet

·                         earrings

·                         anklet

Jewelry types can be customized on the Jewelry Type Options screen.

Parts Inventory

Part Number - a number, or code, associated with this part.  A default number is assigned when a new part is added to inventory, however, this default number can be changed.

Note: When upgrading from Jewelry Insight 2.x, parts stored before the upgrade will not be automatically assigned an item number.  Item numbers can be added manually.

Part Name - the name of the part.

Quantity - quantity in stock. This number can be entered directly or the application can calculate and enter the number for you. (See ‘Calculate Unit Cost’ and 'Calculate Aggregate Cost' below).

Min. Qty - set this number as the minimum quantity that should be held in inventory for this part.  Any parts with quantities that fall at or below this quantity will be listed on the 'Parts - Low Inventory' report.

Description - any desired description of the part.

Unit Cost - cost per part. This number can be entered directly or the application can calculate and enter the number for you. (See ‘Calculate Unit Cost’ or 'Calculate Aggregate Cost' below).

Color - any desired color description of the part.

Size - any desired size description of the part.

Material - the part's material (crystal, gemstone, glass, etc.)  Materials can be updated on the Part Materials Options screen accessible from the Main Jewelry Insight menu on the Options tab.

Part Type - select the type of part. The list of part types is defined on the Part Types screen.

Picture File - if there is a picture of this item, enter the filename of the picture here or use the 'Load Picture' button. The picture will be displayed to the right. The picture file must be stored in the directory designated as the picture file sub-directory (located in directory where Jewelry Insight is installed). The picture sub-directory is set on the Attributes screen. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported. The optimal size for the part picture is 2"x2".

Load Picture - this button will open a file dialog screen from which you can select a picture file. Picture files stored in the pictures directory. If the selected picture is not already in the pictures directory, use the 'load picture' button to select the picture from its location. The picture will be copied into the pictures file sub-directory and displayed on the screen. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported.

Picture display - this is a read-only display of the picture named in the 'Picture' field. The jewelry name is displayed above the picture.

Additional Part Quantity (additional quantity) - use this along with the pkg cost (package cost) to allow the application to update the quantity on hand and unit cost for you. When you want to add a new purchase to your inventory, enter the quantity here. If you purchase a string of 20 pearls for $5 dollars, enter 20 here. This is one of two numbers used when the ‘Calculate’ button is clicked. This quanity is added to the Quantity on Hand.

Total Package Cost (package Cost) - use this along with the Add’l Quantity (additional quantity) to allow the application to update the quantity on hand and unit cost for you. When you want to add a new purchase to your inventory, enter the amount you paid for the new purchase here. If you purchase a string of 20 pearls for $5 dollars, enter 5 here. This is one of two numbers used when the ‘Calculate’ button is clicked.

The additional quantity and package cost is used to determine the unit cost of the new inventory.  The total unit cost is adjusted by taking the weighted average of the existing inventory unit cost and new inventory unit cost.

Calculate Unit Cost - select this option when you know the total cost for a specific quantity of parts.  Example: a strand of 20 beads costs $10. After the Additional Part Quantity and the Total Package Cost is entered, click the ‘Calculate’ button. The Additional Part Quantity is added to the Quantity and the Total Package Cost changes the unit cost using a weighted average (quantity on hand * unit cost + additional quantity * package cost).  

Calculate Aggregate Cost - select this option when you know the cost of each part.  Example: 10 charms cost $1 each. After the Additional Part Quantity and the Cost of Each Item is entered, click the 'Calculate' button.  The Additional Part Quantity is added to the Quantity and Total Package Cost changes the unit cost using a weighted average.

Vendor - select the vendor(s) that carry this part. Select from the list of vendors on the Vendors screen.

Vendor’s Part Code - the item number the vendor uses to identify this part. This may be the re-order number.

Add New Vendor - the button opens the Vendors screen so that a vendor can be added.  After adding a new vendor and closing the Vendor screen, click menu item Records -> Refresh to see the new vendor as a selection option in the vendor dropdown list.

Parts Inventory Summary (Parts List)

List of parts. This screen contains a summary of the parts information on the Parts screen. See the Parts screen reference page for a description of the fields.

Part Number - a number, or code, associated with this part.  A default number is assigned when a new part is added to inventory, however, this default number can be changed.

Note: When upgrading from Jewelry Insight 2.x, parts stored before the upgrade will not be automatically assigned an item number.  Item numbers can be added manually.

Part Name - the name of the part.

Description - any desired description of the part.

Size - any desired size description of the part.

Color - any desired color description of the part.

Quantity - quantity in stock. This number can be entered directly here or the application can calculate and enter the number for you using the 'Calculate' button on the Parts Screen.

Material - the part's material (crystal, gemstone, glass, etc.)  Materials can be updated on the Part Materials Options screen accessible from the Main Jewelry Insight menu on the Options tab.

Unit Cost - cost per part. This number can be entered directly here or the application can calculate and enter the number for you using the 'Calculate' button on the Parts Screen.

On Hand cost - Quantity * Unit Cost

Part Type - select the type of part. The list of part types is defined on the Part Types screen.

Min. Qty - set this number as the minimum quantity that should be held in inventory for this part.  Any parts with quantities that fall at or below this quantity will be listed on the 'Parts - Low Inventory' report.

Sort by - select which column by which to sort the parts list.  Alternatively, click on the column heading to select the column to sort by.  Only columns that are displayed in the 'Sort by' list can be used to sort the parts list.

Show Part Details - The magnifying glass that sits to the right of the screen navigation buttons on the bottom of the screen.  Click this button to open the Part Detail screen to display all details about the currently selected part.

Vendors

Maintain a list of parts vendors here.  

The Parts screen allows you to identify which vendor(s) supply the current part. The list of vendors to choose from is created from this screen.

Company - the name of the company that supplies your parts.

Contact person - the person you normally work with at this company.

Address - vendor's address.

City - vendor's city.

State - vendor's state.

Zip Code - vendor's zip code.

Phone - vendor's phone number.

Email - vendor's email address.

Website - vendor's internet address.

Reports

The reports allow significant filter and grouping customization to display information the way you need to view it.  Most reports include the company logo in the top right corner obtained from the Company Information Screen.  If no logo file is designated on the Company Information Screen, no logo is displayed on the reports.

Reports - Click on a report name to select the report to be produced.  The filtering selections and grouping options for the selected report will be displayed.

Filter Options - Make any filter selections to narrow the report to parts or jewelry that you want to see.  If all filter options are blank, details about all parts or jewelry will appear on the report.  Use filters to retrieve only the specific parts or jewelry you want to see.

Group and Sub Total Options - Select how your report will be grouped.  This option is displayed only for reports that have groupings.  Depending on the information on the report, you may group by jewelry type, vendor, part, part type, etc.  Sub-totals appear for the selected group as applicable.

Output Options - Select the output form that the report should take when the Generate Report button is clicked. Export options will create a file in the selected format.  The default location for the exported file is the My Documents directory, but the location can be changed.  Output options include:

·                         Printer - sends the report directly to the printer

·                         Screen - displays the report on screen

·                         Word export - export the report to a Word document. 

·                         Excel export - export the report to an Excel document.

·                         HTML export - export the report to an HTML format which is frequently used in web browsers

·                         XML export - export the report to an XML format.

The default output option is the Screen.  Output options are valid for formats already available on the pc.  For example, if the pc does not have Excel, the Excel output option will produce an error.

Open Exported File - if this box is checked, Generate Report (or Business Cards or Labels) will open the report (business cards or labels) in Jewelry Insight as well as the selected type of output.  For example: If Word Export is selected, the report will open in Word format.  This option is available for export types of output.  It is not applicable for Printer and Screen output.

Generate Report - Click this button to produce the report after all desired filtering, grouping and output options are selected.

Business Cards

Generates business cards in the size indicated. The information on the business cards is drawn from the Company Information screen.

Filter Options - Not applicable for Business Cards

Output options - See Output Options above

Generate Business Cards - Click this button to generate the business cards.

Note: The primary business card template may not be supported by operating systems lower than Windows XP.  Alternate business cards and labels are provided if the primary business cards and labels produce unintended results.

Labels

Generates labels of the sizes indicated.  Return address is obtained from the Company Information screen.

Filter Options - See Filter Options above

Output options - See Output Options above

Generate Labels - Click this button to generate labels after all desired filtering and output options are selected.

Note: The primary label templates may not be supported by operating systems lower than Windows XP.  Alternate business cards and labels are provided if the primary business cards and labels produce unintended results.

Jewelry Type Options - Kinds of Jewelry

List all of the types of jewelry that you will create.


The Jewelry and Jewelry List screens allow you to select the jewelry type for a specific piece of jewelry. The Jewelry Types screen is where the jewelry type options are drawn from.

Name - this is the value will appear in the list to select a jewelry type from on the Jewelry and Jewelry List screens.

Description - a description of the type of jewelry.

Default jewelry types are:

·                         Necklace

·                         Bracelet

·                         Anklet

·                         Earrings

Adding versus changing jewelry types

You may add jewelry types.  If you change jewelry types, any piece of jewelry of that type will reflect the change. 

Example: You have a piece of jewelry called 'birthstone links' and identified that jewelry as a necklace in the Jewelry type on the Jewelry screen.  You come to the Jewelry Type Options screen and change 'necklace' to 'choker'.  When you return to the 'birthstone links' on the Jewelry screen, the jewelry type will be 'choker'.

If you want jewelry you have identified as 'necklaces' to keep that same jewelry type but you also want a jewelry type called 'choker' add a new jewelry type called 'choker'.  This will not affect jewelry that already has a type.

Deleting jewelry types

A jewelry type cannot be deleted if it is being used to classify a piece of jewelry. 

Example: You have a piece of jewelry called 'birthstone links' and you have selected 'necklace' as the jewelry type.  Since at least one piece of jewelry is classified as a necklace, you cannot delete that jewelry type on the Jewelry types screen.  If you change the 'birthstone links' jewelry type to 'pendant' and no other jewelry has a jewelry type of 'necklace', then you can delete 'necklace' from the Jewelry Types screen and 'necklace' will no longer show up as an option under jewelry types on the jewelry screens.

Part Options - Part Types

List all of the types of parts that you will use.

The Parts screen allows you to select the type part type. The Part Types screen is where the part type options are drawn from.

Name - this is the value will appear in the list to select a part  type from on the Parts Inventory and Parts Inventory Lists screens.

Default parts are:

·                         Bead

·                         Clasp

·                         Pendant

Part types can be added.

Adding versus changing part types

You may add part types.  If you change part types, any part of that type will reflect the change. 

Example: You have a part called 'birthstone pendant' and identified that part as a bead in the part type on the Part screen.  You come to the Part Types screen and change 'bead' to 'amulet'.  When you return to the 'birthstone pendant' on the Part screen, the part type will be 'amulet'.

If you want parts you have identified as 'bead' to keep that same part type but you also want a part type called 'amulet' add a new part type called 'amulet'.  This will not affect parts that already have a type.

Deleting part types

A part type cannot be deleted if it is being used to classify a part (as selected on the Parts Inventory and Parts Inventory List screens). 

Example: You have a part called 'birthstone pendant' and you have selected 'bead' as the part type.  Since at least one part is classified as a bead, you cannot delete that part type on the Part types screen.  If you change the 'birthstone pendant' part type to 'pendant' and no other parts have a part type of 'bead', then you can delete 'bead' from the part type screen and 'bead' will no longer show up as an option under part types on the part screens. 


Additional Cost Options

Defines items that might be associated with a piece of jewelry which will impact the total cost of the jewelry.

The Jewelry screen contains the Standard Overhead and Additional Overhead tabs. Overhead options are drawn from this Additional Cost Options screen.

Additional costs are included in the cost of the jewelry when you click the 'Calculate Cost' button on the Jewelry screen.

Overhead Item - the overhead that may be associated with a piece of jewelry.  This is the item that shows in the list of overhead to choose from on the Jewelry screen's Standard Overhead and Additional Overhead tabs.

Type of Cost - the type of cost of this overhead item. Costs can be a flat charge or a percentage or a variable rate based on number of hours, days, ounces, etc. The cost types selection can be modified but should be modified only after acquiring a thorough understanding of cost types and how they impact jewelry cost calculations.

Amount - the amount  of the  for the overhead item.  Amount is expressed in dollars or percentages.

·                         If a cost is a variable rate, such as Dollars per day, the amount is the dollars. An amount of ‘5’ is $5 / day.

·                         If the cost is a percentage, the amount is the percent. The percentage is a percentage of the total part cost before any percentages. If the cost is a percentage, the amount is the percent. I.e. An amount of 4.5 is 4.5%. If the sum of the parts for a piece of jewelry is $10, the percentage calculation is 4.5% of $10.

·                         If the cost is a flat charge, the amount is the charge in dollars.

Standard Cost - check this box if the overhead amount should be automatically added to every piece of jewelry. All of the overhead costs with the Standard Cost checked will be added on the Standard Overhead tab on the Jewelry screen each time a piece of jewelry is added. Overhead items that do not have Standard Cost checked can be added on the Additional Overhead tab of the Jewelry screen.

Cost Category - Options are tax, profit margin and additional costs.  Use this categorization in cost and detail reports. 

Note:  After upgrading from Jewelry Insight 2.x, it is recommended that a cost category is selected for each of the existing costs on this Additional Costs screen to ensure reports will provide maximum information.

Changing overhead costs

If you change the overhead item or the amount, these changes will be reflected in any part that uses that overhead cost.  The jewelry cost will not change until the 'Calculate' button is clicked.

If you change the standard cost (i.e. was checked then you unchecked it), no change will occur to existing jewelry.  The next time a piece of jewelry is added, if the overhead item has Standard Cost checked, it will be added to the Standard Overhead tab, otherwise, it will not be automatically added.  Overhead items that do not have Standard Cost checked can be added on the Additional Overhead tab of the Jewelry screen.

Deleting overhead costs

An overhead cost cannot be deleted if it is being used on a piece of jewelry.

Status Options - Jewelry Statuses

The Jewelry, Jewelry List and Jewelry Sets screens allow you to set the status of the piece of jewelry. This list of statuses is drawn from the Jewelry Status screen.

Status - the status that a piece of jewelry can be in.

Description - any desired description for the status.

Default status options are:

·                         In Stock

·                         Sold

·                         Reserved

Status options can be changed, added or deleted.

Adding versus changing jewelry statuses

If you change a jewelry status, any piece of jewelry marked with that status will reflect that change.  If you wish existing jewelry to keep the same status but want other status options, add a new status.

Deleting statuses

A status cannot be deleted if it is being used by a piece of jewelry (as selected on the Jewelry screen).

Jewelry Classifications

Lists the various options available for categorizing jewelry.  Examples of categorizing may be seasonal (summer, winter, spring, fall),  dress (formal, casual), etc.

If you change the jewelry classification name, this change will be reflected in any piece that references this classification.  

Deleting jewelry classifications

An jewelry classification selection cannot be deleted if it is being referenced on a jewelry piece.

Part Materials

Lists the various materials that parts are made of.  This is the list of options to select from on the Parts screens (Inventory and Summary) in the Material field.

If you change the part material name, this change will be reflected in any part that references this material.

Company Information

Enter your company information here.  Details from this screen are used when company information is required, such as business cards and reports with your company logo.

Set Attributes - Click after changes are made to any company information.  This should update Company Information so that other Jewelry Insight features that use company information can access the changes to company information.

Logo Picture File - include the location of the picture file of your company logo. Enter the filename of the logo here or use the 'Load Logo' button. The logo will be displayed onscreen to the right. The logo picture file must be stored in the directory designated as the picture file directory.  The picture directory is set on the Attributes screen and must be within the directory where Jewelry Insight is installed. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported. The optimal size for the logo picture is 2"x1".

Load Logo - this button will open a file dialog screen from which you can select a picture file. Picture files stored in the pictures directory. If the selected picture is not already in the pictures directory, use the 'load pictures' button to select the picture from its location. The picture will be copied into the pictures file and displayed on the screen. The file format supported is a bitmap (.bmp). Other picture file formats may not be supported.

Overhead Units

Overhead Units is a list of rates that overhead types can have.  The options for Type of Cost on the Overhead Costs screen is drawn from here. 

Changes should be made here only with a thorough understanding of how overhead units, overhead costs and cost calculations relate. Errors on this screen can cause miscalculations when the ‘Calculate’ button is used on the Jewelry screen.

Name - the description of the overhead unit. Helpful descriptions may contain (a) ‘per’ for variable rates (Dollars per hour, dollars per inch, etc.), (b) flat charge for rates that cannot change, (c) percent for percentages. All variable rates are calculated in dollars.

This is a percentage - check this box if the amount is a percentage.  When this box is checked, 'multiplier can vary from default' is automatically unchecked and should remain unchecked.  

Multiplier can vary from default - if this box is checked, the ‘How Many’ value on Standard Overhead and Additional Overhead tabs on the Jewelry screen can be changed. If this box is not checked, the ‘How Many’ value cannot be changed.   If this box is unchecked, the name column should be used to note this as a 'Flat rate'.  If this is checked, then the name column should be 'Dollars per something'.  If 'this is a percentage' is checked, 'multiplier can vary from default' is automatically unchecked and should remain unchecked.  

The checkbox for percents and flat charges should be unchecked.

Percents must always have an amount of 0.01; otherwise, jewelry cost will be incorrect.

Flat rates must always have an amount of 1; otherwise, jewelry cost will be incorrect.


Default Multiplier Value - the value placed as a default value in the ‘How Many’ value on Standard Overhead and Additional Overhead tabs on the Jewelry screen.

Rate Unit of Measure - if the rate is per day, then this value is day; if rate is per ounce, then this value is ounce, etc.  Flat charges and percentages do not need rate unit of measure.  This value is used to help describe the overhead costs on the Standard Overhead and Additional overhead tabs on the Jewelry screen.

Attributes

This is a list of attributes that the application uses to retrieve information correctly.   Information on this screen should rarely change, if ever.

Attribute - the name of the attribute. The application searches for an attribute value by the attribute name. The attribute name cannot be changed.

Value - changing this value will impact the application.

Restore Defaults - click this button to restore existing attributes to the original values.

The picture path attribute is the sub-folder where the parts and jewelry pictures are stored.  It is a sub-folder in the same directory that this application resides in.

Attributes cannot be deleted.  Any attributes that are added will not be acknowledged.

Backup Data

This feature creates a copy of all data entered to date, including jewelry and part information.  The default location of the backup file is the same directory where Jewelry Insight is installed, however, you have the option to change the location of the backup file.  It is advisable to backup data periodically to media separate from your computer's hard drive, such as a floppy disc or compact disc (cd).

Restore from Backup

This feature restores data from a previously backed up file.  All existing information will be replaced with the data from the backup.

What's New in version 3.0

Jewelry Insight has been upgraded to make it even easier to manage jewelry and part inventory.  Improved reports, more options to categorize costs and inventory and additional options for tracking quantities are among the many new features.

The upgrade also takes advantage of MS Access 2003, for Windows 2000 Service Pack 3, Window XP or higher.  Lower Windows operating systems have the option of keeping the MS Access 2000 version.

Special considerations for different operating systems

MS Access Runtime Version

Jewelry Insight uses the MS Access database. Jewelry Insight version 3.0 is available for Access Runtime 2000 and Access Runtime 2003. 

You may upgrade to Access Runtime 2003 if you have either Windows 2000 Service Pack 3, Windows XP or higher. Lower Windows versions must use Access 2000.

Customer labels and Business cards

May not be supported by operating systems lower than Windows XP.  Alternate business cards and labels are provided if the primary business cards and labels produce unintended results.

Special considerations when upgrading to Version 3.x

Product detail quantity

Product detail quantity should default to 1 when new jewelry items are added, however, existing jewelry items' product detail quantity will be blank and should be set to 1 (or the correct quantity) manually.  Blank quantities may impact cost calculations on some reports.

Additional Costs

After upgrading from Jewelry Insight 2.x, it is recommended that a cost category is selected for each of the existing costs on this Additional Costs screen to ensure reports will provide maximum information.

Several options exist for accessing any Jewelry Insight screen: 

Main Menu screen - the first screen that appears when Jewelry Insight is opened.  Click any tab to display buttons that navigate to additional screens.

Drop Down Menu - this menu contains convenience features (such as copying and deleting records), security functions and help access.

Screens - the menu list that appears at the top drop down menu.  Note: Open the Reports screen from the Screens drop down menu to list all available Reports, Business Cards and Labels at once.

Compact and Repair Database - If the database becomes corrupted, use this option to repair it

Security - MS Access 2003 includes 'Sandbox Mode', which prevents some features from working.  The default security setting (medium) prompts you to confirm that you wish all features to function each time you open a MS Access 2003 application, including Jewelry Insight.  Security setting Low suppresses the prompts.  Additional information about Sandbox Mode is available on the Microsoft website: http://office.microsoft.com/assistance/preview.aspx?AssetID=HP010446591033&CTT=98

Sandbox mode and the Security menu option are not applicable for the Access 2000 runtime.
